Working with Families & Children
Last updated: February 3, 2026
Osmind’s platform is flexible and customizable for practices that work with families and pediatric patients. These features help you manage pediatric care and family workflows — including caregiver communication, shared access, emergency contacts, and customized portal settings for minors.
Add a Contact to a Patient’s Account to Receive Notifications
You may want someone other than the patient (such as a parent or guardian) to receive important notifications — like appointment confirmations, reminders, and Superbills — on behalf of a pediatric patient. Osmind allows you to add an additional contact email to a patient’s account so that these messages are sent to the caregiver as well.
Link Patient Accounts to Indicate Relationships
When working with multiple family members, you can link patient accounts to show their relationships (e.g., parent-child, siblings). This helps unify related accounts and makes it easier to manage care across family members.
Grant Portal Access for Linked Accounts (Caregiver Access)
Through Osmind you can enable linked account portal access for caregivers (e.g., a parent accessing a minor’s account). When enabled:
Caregivers receive invite emails to access the minor’s account.
Once linked, caregivers can switch accounts and interact with the minor’s account directly.
Providers should ensure compliance with privacy and regulatory requirements before granting full access.
This capability supports tasks like paying bills, filling out forms, and completing administrative workflows on behalf of the patient.
Emergency Contact Designation
You can designate an emergency contact for a patient’s account. When adding a contact, simply check the “Emergency Contact” box. The patient profile will then clearly show who is assigned as the emergency contact for quick reference.
Customize the Patient Portal & Notifications for Minors
When working with minors, you may want to limit what the patient sees or which notifications are sent to them directly. Osmind lets you customize the portal settings for a minor’s account — for example, disabling access to billing and payment features or turning off specific notifications.
Important notes:
If you’ve assigned a caregiver to receive notifications on behalf of the minor, they will only receive those messages that the minor is allowed to receive under the portal settings.
You can optionally collect payments or send invoices directly to a caregiver or family member instead of to the minor’s account.
Schedule Group Appointments for Families
If multiple family members each have active patient accounts, you can schedule group appointments that include all relevant accounts. Create a group appointment type in Osmind, then manually add each family member’s patient account to the session.
Note:
Credit cards on file cannot be shared across multiple patient accounts — each family member’s account must have its own payment method if billing is involved.
Summary
Osmind supports pediatric care and family workflows by allowing:
Caregiver contacts and notifications
Linked family patient accounts
Managed portal access for minors and their caregivers
Emergency contact tracking
Family group appointments
These features help your practice provide coordinated, patient-family centered care while maintaining appropriate privacy and access controls.
